A barcode is a machine-readable label that identifies an item. In an inventory system, scanning a barcode replaces typing a name or code — which is faster and avoids mistakes.

Benefits

  • Faster billing at the counter.
  • Quicker, more accurate stock counts.
  • Fewer picking and dispatch errors.
  • Easier tracking of lots and batches.

Common barcode types

Type Best for
Code128 Internal codes and logistics; compact and flexible
EAN-13 Retail products sold in shops
QR code Holds more data; scanned by phone cameras

Setting up

  1. Give every product a unique code.
  2. Choose the barcode type that suits your scanners and customers.
  3. Print labels on a sticker template that fits your printer.
  4. Stick labels on products or shelves consistently.
  5. Scan during receiving, billing and stock counts.

In Onyx Bills

You can generate unique barcodes in Code128, QR or EAN-13 and print them on sticker templates, alongside lot tracking and near-expiry reports. See Onyx Bills features and the inventory management guide.

Frequently asked questions

Do I need a special scanner?

Most handheld USB scanners work like a keyboard. Phone cameras can read QR codes.

Can I use my supplier's barcode?

Often yes, if it is unique across your products. Otherwise generate your own.

Do barcodes need a licence?

Internal barcodes do not. For EAN-13 retail codes registered globally, check the rules of the issuing body.
